| Job Requirements: | Zamil Industrial Investment Co. is in need for Project Coordinator in Coolcare - Projects & Retrofits Department . Ideal applicants should meet the following basic requirements:
• Bachelor’s Degree in any Discipline, preferably in Secretarial or Office Administration. • Minimum 3 years relevant experience.
Responsibilities would include:
• Based on the instructions of the Project Manager / Project Engineer, coordinate / communicate with the respective parties on the requirement of the project (e.g. Testing & Commissioning, staff Training etc.) in order to ensure for its timely start in accordance with the schedule. • Acquire the relevant document / report, resulting from the activity, and provide to the Project Engineer / Project Manager to serve as their reference. • Maintain a systematic and indexed filing system for all relevant documentation in accordance with Company / ISO requirements. • Monitor and control all relevant quality documents in order to ensure that only the latest versions are on hand with the relevant parties. • Inspect the documentation requirements of the team / subcontractors in accordance with the Company / ISO requirements. • Sort all incoming fax / documents received & distribute to all concerned parties within the departments or through internal messengers. • Send out faxes originating from the project or its employees upon request and keeping proper records of the faxed document and its sent confirmation. • Coordinate with relevant parties (e.g. purchasing, courier service, messenger etc.) on the dispatch of the official outgoing mail / documentation / parcel from the department to ensure of its timely delivery to the concerned party. • Monitor employee attendance and prepare reports for submission to the relevant parties. • Prepare Leave / Vacation Request (LVR), work resumption form and input data for business trip report in the ISweet system. • Receive and coordinate with HR / payroll on the outstanding issue in order to resolve it timely. • Properly maintain the Project team’s office supplies and timely request for replenishment to ensure the office supplies are at the required minimum level. • Initiate and coordinate for the purchase and delivery of items / Fixed Assets required by the Project through the ERP system. • Prepare check request, petty cash vouchers and invoices and follow up till receipt of the funds as and when required.
Skills • Proficient in MS Office Application and MS Project. • Proficient in handling Office equipment such as PABX, Fax and Photocopier Machines. • Good communication skills in English (Arabic an advantage). • Good Interpersonal and Time Management Skills. |
